Director of Administration

Job Summary:
Mullen & Henzell L.L.P. is seeking a skilled and experienced Director of Administration to oversee the administrative functions of our law firm. This role includes managing day-to-day operations, working closely with the firm’s managing partners and management committee, implementing best practices, and driving operational efficiency.
Key Responsibilities:
Firm Management: As a member of the Firm’s Management Committee, work closely with the Managing Partner and Partners by contributing to the overall strategic planning and decision-making processes that drive the firm’s operations and success. Prepare agendas, financial information and supporting documentation for Management and Partner meetings.
Financial Management: Oversee the financial management of the law firm, including budgeting, financial reporting, billing, and collections. Ensure that the firm meets its financial targets and maintains a strong financial position. Engage and work with outside CPA firm regarding accounting issues, partner compensation, firm tax returns and Partner annual K-1s.
Partner Compensation: As a member of the Compensation Committee, provide financial and historical information to support the committee’s Partner compensation recommendations. Prepare and oversee calculations of Partner’s quarterly profit distributions.
Retirement Plan Management: Oversee the Firm’s 401(k) & Profit-Sharing retirement plan, working closely with plan’s external advisors regarding plan investments and participant education. Work with the plan’s third-party administrator regarding plan documentation, year- end testing, and annual tax return.
Insurance & Risk Management: Oversee insurance procurement and management of general liability, building, earthquake, professional liability, employment liability, and workers compensation insurance; interface with Firm management and insurance brokers regarding issues of risk management.
Compliance: Ensure that the firm operates in compliance with all legal and regulatory requirements. Stay current on changes to laws and regulations that could impact the firm.
Qualifications:
- Bachelor’s degree in business administration, finance or related field
- At least 5 years of experience in professional services administration or related field
- Strong financial management skills, including budgeting, financial reporting and billing
- Experience managing human resources, including recruitment, training and benefits administration
- Strong organizational and leadership skills
- Excellent communication and interpersonal skills
- Experience with information technology systems and infrastructure
- Knowledge of legal and regulatory requirements for law firms
Compensation & Benefits:
- Compensation range of $160,000 to $200,000 annual salary
